Business and Legal Administrative Assistant (3000 – 11FG)

 

We are currently seeking a Business and Legal Administrative Assistant to provide administrative support to multiple departments.
 

 

·         Provide senior level administrative support to the VP of Business and Legal team.

·         Manage calendars and maintain scheduling and preparation of meetings and events.

·         Assists with making travel, car rental and hotel arrangements for team and also visitors and creates travel itineraries.

·         Answers telephone and takes accurate messages and delivers to appropriate individuals in a timely fashion.

·         Assist Accounting in the preparation and tracking of expense reports.

·         Develops and maintains internal tracking spreadsheets and databases.

·         Supporting internal IP team including: maintaining patent prosecution files and associated documentation and correspondence from external legal counsel, supporting external legal counsel with official filings, docketing due dates, managing annuity payments through annuity service provider, grant-funded IP reporting, formal document coordination, and minimal other administrative assistance.

·         Supporting internal legal team including: general corporate transactional support, including commercial contracts and third party agreement maintenance and organization.

·         Handles information of a highly confidential and critical nature.

·         Assist with the project timeline by providing administrative support where needed.

·         Provide back up support to other members of the administrative team, filling in as necessary.

·         Other administrative tasks as assigned.


Essential Duties and Responsibilities:
Requirements: 

Knowledge and Abilities:

·         5+ years administrative experience required.

·         Requires US patent prosecution experience with law firm or corporate IP department, strong organizational and computer skills, including MS Office (word, excel and power point).

·         Desired skills: foreign patent prosecution exposure, familiar with USPTO PAIR interface and assignment database, CPI and EARS, iEdison, prior experience with a corporate transactional practice.

·         Ability to appropriately handle critical information and sensitive situations in a timely manner.

·         Flexibility to handle a variety of tasks and shift priorities simultaneously.

·         Excellent organization and time management skills.

·         Ability to effectively interact with all levels of staff and external contacts; ability to work as an effective team member.

·         Strong level of initiative and ability to work with minimum supervision.

 

Education, Work Experience and/or Licensure

·         Requires AA degree and a minimum 5+ yrs administrative experience supporting senior staff.  Biotech environment desired.  Must have experience managing a project including the ability to multi-task and support a large multidisciplinary group.  A high level of organizational skills and attention to detail is required.  Must possess the ability to communicate written and orally in a clear & concise manner.
